Mass edit, add, remove, and inspect tags across all collections

Content Catalog allows you to add meta data to content in the form of tags. Tags allow you to make it easier to find content when using search and allow for grouping of content that far surpasses the flexibility of folders allowing one item to have many tags. With Smart Tagging Strategies, content can be grouped in many helpful ways and even be used for Saved Searches.

Things to know about Manage Tags

  • Who can access Manage Tags? Only ACC admin that have all rights to Content Catalog can access or edit

  • When should I use it? Manage tags is most helpful when you need to:

    • Remove or edit a particular tag across all content

    • Create new or standard tags to be available when choosing tags for content

  • What should I tag? Some content like Revit have category and type information already parsed while other file types may need this information added. Try to add information about how the content should be used or what it is most related to for easy search and find. See Smart Tagging Strategies for more details.

Note: A company can choose to allow or prevent users from creating new tags form the Company detail basic Permissions settings as seen below.

How to Access Manage Tags

To access Manage Tags select the Company Details icon on the left navigation (Gear Icon) and choose the tab "Manage Tags"

How to Create New Tags

Select the "Create new tag" button on the right. This will allow you to create new tags that haven't been used on any of your content before. This is a great place to make tags that you would like others to use when adding tags to content.

Next add the tag in the field provided and select create.

Note if you try to create a tag that exists already you will get a popup in the upper right hand corner like below.

How to Edit or Rename Existing Tags

When browsing the list of tags select edit (pencil button) to the left of the Tag Name. then enter the new tag name you wish to replace it with and select Rename.

How to Delete Existing Tags

When browsing the list of tags select delete (Trashcan button) to the left of the Tag Name. take note of the number of Impacted Content and saved searches. This means this tag is used on the items impacted.

When you are sure you want to delete the tag select ok. All tag deletions will process and show you the record of deletions.

Review use of a Tag on Content

Sometimes tags may be used on content inappropriately. To review what content has a given tag and what saved searches use that tag, select the tag name to see more detail.

Next you will see further detail including search options for impaced content to review in further detail. simply select the name of the content to see that contents detail.
